Transcript for "Campfire Product Demo 9/2":
Hey, everybody. Welcome to the, webinar. Thanks for signing up and, joining, me here. I'm Brad Dillon. I'm a solutions consultant here at Campfire. I'm a licensed CPA. I've spent the better part of the past ten years working in ERP systems across the spectrum, and got my start at the big four as a as a, auditor, working on, you know, tech companies out here in Silicon Valley. But good to see you. Thanks for joining today. I'm gonna wait a moment before I kick off here. But, when I do, this will be the show that I'm gonna be giving y'all. Do you see people not piling up? Good. Perfect. Anyways, just to kind of dive into this oh god. Okay. Second. Where's where's he? Oh, right here. Policies, folks. This is the, little bit of technical difficulties there. But, anyways, just to kick things off here, welcome to the Campfire webinar. I'm gonna be stepping through a little bit of who we are, what we can offer you and your business, and really what, Campfire has to provide in the world of ERP systems. So, basically, we are an AI native, ERP system that was designed from the ground up with with AI in mind. The whole idea here is to help you close your books faster at the end of the month, help you handle, multiple entities, multiple currencies, and all the integrations and reconciliations associated with those. We've seen our customers handle up to, you know, $22,000,000,000 of, you know, transaction volume on our, per year on our platform. We do hand we do handle multiple tools that are typically that used to be, you know, separated out into separate software systems. So for example, we do offer leases. We do offer, you know, period close checklists. We do have, you know, a built in AI tool for making reports available inside here. So, basically, you're able to handle a lot of functionality that used to live inside of different, inside of different systems. Kind of a way to think about who Campfire is and what we are is that, basically, we are aiming to be, the modern version of a lot of these legacy ERP systems. So think about your NetSuites, your Sages, your QuickBooks. You know, all these all these companies got their started back in the nineties. They've been around for a while. They have a lot of tech debt. Basically, they've been, you know, iterated upon for so long, that basically, they were not designed with AI functionality in mind. You compare this to kind of the more modern, softwares that that that that's out there. It's been coming on recently. Think about your ramps, your ripplings, you know, Mercury, Brex, etcetera, Stripe. These are all kind of designed more for the modern era. Campfire is trying to be the same thing for your ERP system. And so, you know, what actually is inside the Campfire the the Campfire platform? We're gonna get to it in just a moment. But to kind of, like, lay it out is that we have, you know, two core, modules, which is the core accounting module, which includes your g your GL, you know, multi entity consolidations, closed management, leases, fixed assets, etcetera. Then we have our revenue automation module as well, which kind of is gonna give you your revenue recognition schedules, your your invoicing, tracking your payments, and your, you know, kind of your KPIs and even your usage based revenue tracking. Additionally spanning this entire thing, we have our EmberAI functionality, which is our built over our own large accounting model. We do leverage Cloud for processing the language part of it, but for the actual accounting calculations themselves, those are run on our own proprietary AI model, and, basically, it's gonna be able to give you a paper trail for anything that you ask inside of here, giving you very, strong auditability across the platform. Now I consider and talk about this forever, but I really wanna, you know, dive into showing you what is inside the Campfire platform here. So coming out of the gate here, this is the, dashboard you see when you log in. So a couple of key metrics right here. You go to AR, cash on hand, revenue for the prior full month, etcetera. But what I really wanna dive into is our reporting. So right out the gate over here on the left, you see our income statements. Let me go right here. I'm going to filter this for year to date, and I'm gonna change this to be quarterly. Something to call out here is that Campfire does have the ability to support non December 31 year ends. So if you have, like, a January 31 or August, you know, August 30, basically, you or August 31, you have the ability to, select that here and have that as a, you know, year end. We're gonna do quarterly calendar. What we're seeing right now, this is showing the con the combined consolidated total across all your entities on this income statement. So if you scroll down here, you see 240,000 for hosting revenue for q one twenty twenty six. This is really the combined total for all these entities right here. If I click into this, so for example, the hosting revenue right here, q one, it's going to open up a drill down for q one for that account and shows us all the transactions that underlie that $240 we saw on the income statement. Now I'm going to filter this for, the UK subsidiary. We do have the ability to handle foreign currency, consolidations and income statements here. It's currently showing this in the USD, which is the parent company's, currency. But if we change this to be euros, like this right here, basically, which is what this UK subsidiary is using because it's covering the entirety of Europe, which is why we're using euros instead of pounds in this scenario, we're able to show that on the income statement in euros right here. Now if we wanna see, let's say, The UK and California together, it's going to translate The UK into dollars, and then it's gonna show a combined view right here. If we wanna see a breakout of just those two entities, go over here to the right, Click this, group by columns, entity, and you'll see subsidiary one, subsidiary two, and a total of those combined. You can do this for as many entities as you would like inside the Campfire system. One last thing to call out on this is that, we do also feature a a tagging system inside of here. I'm going to remove this, column for for entities right here. When I go to group by here and go to rows, you see geo, location, operating unit, product, project. These are all customized fields that we've added into the transactions. So, for example, if I go to project right here, you'll see that we have Kenya development project, project one a. These are nested inside the broader Kenya development project, BS project one, Sugar CRM one project. What these are, these are values that were given inside the project field on transactions. So if we go, like, one zero five right here, this is for BS project one. You'll see that it's over here on the far right. These columns can be customized and added inside of Campfire, so they show up under transactions however you see fit. There is no limit to how many, tags you how many tag groups you can add on here, and, also, there's no limit to how many layers deep you can nest these. So for example, the income statement, I've seen customers do continent and then country and then state and then city and then even, you know, office location, drilling down as many levels as as, they would like. Stepping away from the income statement, I do wanna kinda show the, the balance sheet, briefly. Similarly drillable right here. We have, like, payment clearing three fifteen. Click on this. It'll show the, underlying transactions. So, you know, we have a balance sheet, cash flow, trial balance, budgets right here, kind of a lot of your your, typical accounting or reporting functionality. But I wanna show on here how easy it is to build a custom report inside Campfire. I'm gonna go to reports right here. And what this is showing, this is showing, kind of a listing of our reports that come with the system, such as revenue by customer, expenses by vendor, etcetera. But what I really wanna highlight here is that if we go to the top right with create new report, you can either build a new report from the transaction level up, like an in app pivot table by going to the transactions route, or you can build a customized version of an existing financial statement. So we're gonna try that out right here with kind of with a custom financial statement. I'm gonna build this as broadcast I slash s, customized income statement, group by accounts, make this quarterly, have entities as the as the selectable filters, hit save report. Gonna change this to be year to date. Now this information should look pretty familiar. It's the same income statement we were looking at a moment ago on in the prior stock income statement. However, in here, what I can do is I can go to edit in the top right here, and I can make adjustments to this income statement to have this grouped as I see fit. So, for example, if I wanna remove insurance expense from this version of the income statement, I can grab this and drop it into removed rows, Take lease expenses as well. As I do that, you'll notice that this operating expenses right here and this operating expenses up here are getting updated in real time. I also can add custom groups inside here. So I'm gonna go to add custom group right here. Add group. Call this separated OPEX. Create group. You'll see that this is now shown down below, and we can drag these, accounts into this category. So, like, meals, take tax expense, put those down in there. Also worth calling out is that you can grab these customized groups and nest them inside of existing groups. So I put separate OPEX back under the broader OPEX category just to keep it all together. Final thing to call out on the income statement here, on the custom income statement, is that you do have the ability to create formula rows. So you see that gross profit, you see operating income. These are calculated. You could add formula rows. These are included with it. You can add additional ones down here, or you can just edit the ones you already have. So for example, you know, gross profit or operating income, we'll hit edit here, and you'll see what formula is being used to calculate this, and you can edit it accord accordingly. When you're happy with how the the, customized income statement report looks, you can hit save right here. Get out of reports. Go back to search reports. Gonna search broadcast. And here is the report that we're just looking at. You'll notice that it saves our groupings right here, separate opex. Now that's our that's our custom report builder. But even going beyond that, this is where Embra dot ai comes in. This is our our in house, AI system that we've that we've built to be included with Campfire. Kinda covers all of your accounting data inside here. And if you're familiar with the ChatGPT or like Claude, you should be pretty, you know, familiar with how to use this. But basically the difference being that instead of talking to a generalist, you're talking to a CPA with several decades of experience. So just to test this out, we're gonna type in, give me a list of the top five biggest vendors by spend for July 2026. You know, the queries on here can be as complicated as you would like. I'm giving a simplistic one here just to kind of, you know, have the have have some, for expediency sake for the purpose of this of this demo. What is happening under the hood here as I kick this off, actually, is that this is actually generating Python code and then executing it to go through your accounting data and get the the outcome you want. Why this really matters is because you're gonna be able to use that Python code as an audit trail to come back and see what the AI system did, you know, well after this has been completed. So compare that against, like, a Cloud or a ChattoptyPT. Those are great tools in the accounting space. But, basically, once you send the prompt in, it kind of goes into a black box. You can't really see the steps that were done. By comparison, Embra dot AI, we got a paper try paper trail here. We've got our outcome here for your for the query, top five vendors. We're gonna go to paper trail right here. Go to steps, and this is going to show the steps that were followed in Python code to get the outcome that we see on the screen. When audit time comes, the auditors can come back here, and they can investigate this to see, more details about what happened, under the hood here. Something else I wanna call out inside of Ember is that we do have the ability to build, agents here. I'm gonna go over here to agents. These ones in green, such as continuous close, accounts receivable, AP, etcetera. These are the, the agents that come built with the Campfire system. These are included with the software itself. The ones in purple down here, these are all custom agents. So, So basically to build a custom agent, all you've gotta do is go to the chat and say, hey. Can you create an agent for me that will run a ninety day revenue forecast or whatever it is, and have this run every x y z, cadence? So every month, every week, every day if you would like, and then have it and and then you can even specify where does it deliver the results, deliver them into the console. We have support for delivering via email and Slack. We go to edit here to see what this looks like. Basically, this right now has no schedule. If we wanted to have this run every so often, we could change the schedule right here. Back inside the agents, I do wanna highlight the continuous close here. So, basically, when we say continuous close, that doesn't mean that we're posting closing entries every single day. What this means is that this is looking at your transactions, and it's trying to identify trends to help you allocate your, accounting activity appropriately before the end of the month close entry is made. So for example, this continuous close agent is running constantly here. You see this every, you know, about nineteen hours ago, ten hours, two hours. It's chronically running. If we go into transactions over here, you see that it's filtered for uncategorized right here. We scroll down, go to the right, you'll see some that have been tagged with AI rule. Basically, what this means, if you click on this, the continuous close agent had gone through the system and identified uncategorized examples that look similar to this one in in question. It has seen situations where the accounting team, at your company has gone in here and made manual adjustments to this. Like, okay. We moved this from uncategorized to deferred revenue in this scenario. And what the continuous close agent has identified is, like, okay. We think that if these are true, then these need to be updated. So if it sees this keyword right here, the five year contract, then we need to move it to deferred revenue based on what we've seen historically. If you agree with the suggestion, you can hit save rule. And then going forward, all the all the all the transactions that meet that criteria on the left will be moved into the the into the, formatting on the right. Over a long long enough time, this should help you, cut down on your closed on your closed time. Back inside agents here, one more thing I do like to call out is we do have a on demand flux analysis available inside here. This comes with the system right here, flux analysis. We can compare either budget versus actual or period over period. So we don't advertise ourselves as an FP and A, platform, but if you do upload a budget into here into the budget section under reporting, you can have access to that. Just to show you what a period versus period flux analysis might look like inside of Campfire, I'm gonna look at this July versus August right here, view. It has a summer an AI generated summary at the top, variance by department right here, variance by category right here. Then coming down, you see a, an an AI generated generated explanation of what happened in each account, during that period from July to August. Few more things to call with AI here is that we do have the ability to generate skills here. So if you if you wanna have some logic that you call on frequently from inside the chat, you can set that up and then share that across your team. We do support MCP connectors. So if you want to connect this to, let's say, Ramp, for example, or Stripe, so Embra dot AI has more access to context in those areas, you can you can set that up here. We also have the ability to set up via MCP custom, server connections. Basically, anything that has an MCP server available, we can work with you to try to set that up, to, connect via via embra.ai. And then finally over here under files, you do have the ability to upload files. So for example, if you have a certain headcount that you have, that is gonna be consistent for the next three months for your, you know, for your end of month, allocation calculations, or if you have a certain template you wanna have access to here, you can upload that file here and then have that, available for context in your agents, skills, and Embra dot AI chat. Stepping out of Embra dot AI, I do wanna touch on some of the other functionalities inside of Campfire. We do have our revenue up here. Before I dive into that too deeply, one last thing is that up here, it says ask Ember. You do have the ability to, talk to Ember from pretty pretty much any screen inside of, Campfire. So if you have questions about what you're seeing on the screen, you can open up the sidebar, type in your questions, and get those answered, on the spot. This is our revenue dashboard that shows our, total revenue, customers, net retention rate, etcetera. We have a recurring revenue waterfall down below with the ability to drill down, into a month and have a show breakout by customer. What is underlying all this revenue is our contracts system. So, basically, contracts live inside Campfire. Just to give an example here, we'll look at, warehouse and contract right here. What we have here is this revenue schedule down below. This is being driven by subscriptions, usage, and milestones. So in this in this scenario, we have a one year subscription right here for $20,000. You see that split out on the revenue schedule appropriately. The first month is only one day, so it's broken down into $53. And then we have to spread out appropriately across the rest of the, rest of the the the this lifetime of that subscription. We had a milestone, it would be a one time charge. Same goes for usage. We do have the ability to support tiered pricing inside of Campfire as well. So if you have, like, you know, first 1,000 or a dollar, the next, 1,000 or 90¢ each, we can support that inside of Campfire. Now I'm showing all of this. This can be, you know, set up manually in here, so, like, you know, create usage data, create milestone, etcetera. You can definitely create it manually inside of Campfire, but we do have open APIs available for all of our fields inside of here. So if you have Salesforce, HubSpot, or any other CRM or somewhere else where those data is living, as long as there's an API available, there's an API available, we can work with you to get that information passed over into Campfire as part of your implementation. One more thing to call out instead of revenue is that we do have the ability to generate and send invoices from inside Campfire. So for this one, we've already run the process. We've we've been made a monthly invoice for each of the items in the revenue schedule to show what an invoice looks like inside of Campfire. This is, you know, what it looks like on the system level. We had actions, download PDF. This is gonna show what it actually looks like when it goes out to the customer. This right here is what the customer will see. Obviously, this and this can be customized to to have your company's logo and address. Additionally, all the fields in the header here, such as bill to, ship to, these are all fully customizable as well. You'll notice on the invoice here, we have, like, for example, pay date, location of sale. Those only show up if they have a value, and you can also change what fields are shown in the header here in the invoice. Stepping out of revenue, I do wanna, I do wanna touch on the closed management part of Campfire. Come over to checklist. Basically, if we go to view right here on October 2026, this has a monthly view of a series of tasks that need to be done by somebody on your team to close out the period. So, for example, we have, coming to this list here, you have the ability to the appropriate person to finish this out, see you completed it, see you reviewed it, etcetera. We can also see the previous month's journal entry right here. Just to show what this looks like, so for example, we'll run the depreciate fixed assets item here. Let me just sort of run over here on the far right. What this has done is it's poured through your fixed asset records inside of Campfire, determined which of them have a depreciation item for October 2026, and included those in this tentative journal entry. Once you scroll through it and look at it and make sure everything's okay, you hit save transaction to post this to your GL. We're gonna fix assets in just a moment to see the depreciation schedules. These closed checklists are fully customizable, by the way. All you have to do is go to actions up here in the top right, add item, and you can add one as appropriate. What I've seen some of my customers do is they'll include AI driven checks on this, not mailing checks, but, like, a check on is this accurate as part of their period close. So we'll do other. We'll do type. We'll do Embra dot iTask. Put an Embra dot iTra prompt or or number prompt will say, give me a list of the top 10 biggest, outgoing cash activities for this month. Cash. Save task. And then once you have that task saved, you'll see this available down at the bottom. You'll see this one right here which says run. Hit run. It's gonna kick that off. And, basically, this is a good way to have, AI checks as part of your final, period close. And then you can also, of course, have this be, you know, generate a journal entry that does x y z, have an allocation journal entry. You kind of the sky's the limit on this as far as what you can do, on your closed checklist via AI. Back inside the overall checklist view, I do wanna show that we can change the template here. So you have certain things that you wanna have, showing up every period closed check period closed checklist going forward. You go in here, add item. You can make it monthly, quarterly, annual. So you wanna have it every month, make it monthly, etcetera. Just to touch on the other accounting odds and ends inside of Campfire, like I mentioned, we have our fixed assets right here, which includes a waterfall and reconciliation and roll poor report. And each of these, fixed assets has a depreciation schedule down below with how much is expected to be included on depreciation for that asset for each period. We also have bills right here. This is where your bills live inside Campfire. These can be passed over from an AP system like a ramp or a brex or bill.com. But then also you have the ability to if you hook up a an an email inbox here, as those are passed to that email, they can appear in here inside your inbox right here. From there, it'll be passed to needs approval, and then awaiting payments, etcetera. From inside one of these bills, I do wanna showcase really quickly, if I can find one that has, this one right here would be a great example, how we how easy it is to build an amortization for anything you see in a bill. So, for example, we have this one right here for a $100,000. If we go to the far right here, and we hit amortize, start date will do today, End date will do today plus one year. I'm gonna make the destination account. We're gonna make this, software expenses, and then we're gonna hit next. It's gonna give us a preview of the schedule. Hit save. We now have a link to the amortization schedule there and here. I'm gonna click on this. It shows a review. And click on this. It shows us the amortization schedule. And now you have an amortization schedule for that line item inside the bill. Just to show it show it very briefly, for leases, we did the the ability to support, lease accounting. So if you have, you know, office space you're leasing, basically, you can, have that tracked inside of Campfire with an amortization schedule. We do support operating and financing leases. Stepping away from the core demo, it sounds like we may have some questions here. Does anybody was anybody wanted to ask any questions? Anything else you wanted to know? Oh, yes. I I see somebody asking a question about a dunning feature. We absolutely do have that. So we come down here to embra.ai. We go to agents. We go to invoice recovery right here. What this is able to do is you're able to set this up such that, once an invoice is x number of days overdue, nine days, sixteen days, whatever, hit edit right here. You're gonna be able to, have this email that goes out to them automatically, to to contact them contact them about make making their payments. Now this is, you know, fully configurable. You can change the text of the email to be, you know, as aggressive or as friendly as you would like. You know, we typically see people be a little more firm as time goes on, like the, you know, further, messages. Maybe one more thing to call out on that is that we do have automatic payment tracking as well. So, like, once a payment has been submitted to a bank account that's been connected to Campfire, Basically, you're able to see inside of AR right here. You can track and see, where the payment has been, delivered. Yes. I see the question about a budgeting component. I'll go to that right now. So our budgeting component, I do wanna call this out. We we really don't have, like, much in the way of an FP and A, process built inside Campfire, but we do have the ability if you have a, if you have budgets that live somewhere else, like a CSV, you can upload those and compare them against your actuals inside of Campfire. So in this case, we have a budget that's been uploaded. We have our actual data. We see our difference right here. We're gonna see the actual budget that that was uploaded, hit the budget right here. And one last thing I wanna call out with this with with FP and A is that even though we don't have much in the way of, like, native functionality here, you can use Ember for making budgets. It's like, hey. Looking at revenue data over the past twelve months, give me a forecast assuming at best, and worst 10%, you know, plus minus case, for the next three months. I've seen people do that and then fill out a budget using that information and upload it into Campfire. I do see the question about the, the Howard JEs entered. So how those come in? Go to accounting right here. Go to new journal entry. You can either create them manually right here inside of, inside of Campfire. We do also have the ability to upload them. So that's that's the manual option under accounting, new journal entry. We need to upload them via mass, upload via CSV, via transactions, upload CSV. And then, of course, much most of these are being passed in from connected systems. So if you have, like, your bank account, your AP, maybe a, like a CRM, something like that hooked up, you you or even when we're making invoices out of the revenue section, these journal entries are being created automatically. You can bring in AR transactions through through API, through, through another AR system. The answer is yes. We can. So if you if if there are APIs available, from another another AR system, so if you have, like, invoicing that is being handled by another system, if that system has APIs available, we can pass the invoicing and the, AR activity into Campfire through that. For reconciliation features, come down here. So many of these have many of many of these sections here have reconciliation reports available, so like fixed assets right here. And then also for reconciliations, something to call out here is that because we are pulling in this information automatically inside the closed checklist, it basically is running the reconciliation automatically for a lot of these. So, for example, revenue, if we run a you know, on the closed checklist here, checklist, October. If we do revenue entry for this, hit run. It's pulling this information in before we even create the journal entry, so it shows you exactly what's being included here. For anything beyond that for a certain kind of reconciliation, I'd usually would recommend going to Emperor and saying, hey. Give me reconciliation to those x y z before we post this. Would be glad to discuss that further on, like, on, like, another call. Yes. So for for Embra AI supporting month and reporting and quarterly board invest investor package creation, we do have the ability to create Excel files and PowerPoints coming out of, Ember. The way that I recommend doing this would have an agent that runs every month that says, hey. We're gonna make a report that shows x y z. We're gonna make a 10 slide board deck, that is prepared every month that includes, you know, these charts, these graphics, etcetera, etcetera, and then have it run automatically every month. Actually, I think even if we look in my demo environment here, we'll see that somebody has set up a custom agent for making a board reporting package right here. And these instructions sound complicated, but, basically, what you would do to make this happen, you would talk to it in plain language inside chat saying, hey. I need a I need an agent that runs this board deck with the with this information and matches this criteria, and then save it once you're happy with what, it's showing as a tentative outcome. So so for revenue recognition, I can definitely show that. Basically, inside the contracts here, we have our, revenue schedule down below. How revenue recognition works inside of Campfire is that when the, you know, for future periods so for example, this one has August right here, September, October. For each of those periods, when we run our revenue recognition entry inside of our closed management when we run our revenue recognition entry here, this is going to, look for all the line items on those contracts that have a line for that month, and it's going to include that in the revenue recognition journal entry. But, we're just about at time. I think that I I I see the question about pricing and info. That's one of those things that I per as a solutions consultant, I'm not really the perfect person to ask about that, but I we would love to talk to y'all and, you know, speak with a, basically, an AE. We'd love to help. We we we'd be glad to, jump on a call with y'all. One last note to leave you with is that if you wanna reach out to me, via email, I am brad@campfire.ai. I do respond pretty quickly, so reach out whenever you would like. We also have, you know, basically demo sign ups on our website. This is kind of a broad demo for everybody, but if you want the one that's tailored for you and your business, go ahead and check it out at campfire.ai. Thank you very much. I'm gonna go ahead and stop sharing my screen.
